2. JOB PURPOSE: |
||||
Ensure that receipts, physical storage, issue and reservation & of materials in the main store is done accurately, efficiently and in a cost effective and timely manner in line with the Policies and Standard Operating Procedures. |

Policies and Standard Operating Procedures § Follow all relevant operational procedures and instructions so that work is carried out in a controlled and consistent manner. |

Store Keeping Processes § To supervise and carry out the receipts and inspection of various materials to ensure conformity with the respective documents and that the required certificates and test reports are enclosed for further verification and approval by the end users. To review and prepare shortage and discrepancy reports for damage and incorrect deliveries.
§ Check and process material issues and returns to ensure that they are properly filled in and are in accordance with the Financial Delegation of Authority.
§ Supervise unloading and loading of materials.
§ Update all relevant information on physical store stocks and reports on nil – stocks and urgently required items to Stock Controller / Materials Officer for urgent replenishment action and follow up.

Materials orders § Co-ordinate with supply personnel in order to initiate materials orders to meet specific requests from local and out-station operational areas and to maintain effective minimum stock levels of regularly used items. |

Despatch of Materials § Supervise activities related to the issue and dispatch of materials, locally and to out-station locations, in order to meet authorised requirements of internal customers. |

Stock Holdings § Supervise and participate in regular stock checks and inventory reviews to reconcile materials holdings with inventory records. § Deal with all queries regarding stock holding and status and material information in order to ensure that stores capability is understood. |

Reports § Update day to day work and all data management work in GP system and generate required reports whenever necessary.
§ Report, label and prepare the documentation for the damaged, obsolete, surplus and redundant materials.
§ Supervise the materials reservation for shutdowns and to ensure that they are correctly received, inspected and labeled and available during the shutdown and report and follow up on missing balance to the inventory for transfer from other sites or replenishment. |

5. OPERATING ENVIRONMENT: |

Scope: responsible to lead all activities related to material handling to ensure effective materials receipt, checking, storing, preserving, issuing and reconciling activities including Stock Checks that are carried out on regular basis on the inventory items as stipulated in the respective Procedure. This activity also includes the checks of the materials conditions and required preservations. Authorities: Follows standard operating Procedures and exercises all authorities as delegated through the Delegation of authorities manual. Contextual Environment : 30% Physical effort, 20% exposure to outside environment, 50% office work atmosphere. |
