take responsibility for all aspects of the tender and contract process from creation to evaluation, to improve customer relationships, negotiate with suppliers to achieve value for money and ensure they are competent to carry out the work, and promote the profile of procurement within the organisation.
- Responsible for the timely preparation and administration of all contractual documentation related to contracts and in accordance with the project and company procedures
- Coordinate with the contractor on work priorities and schedules.
- Prepare documentation for and undertake pre-qualification exercises to determine supplier tender lists
- Manage vendor registration and documentation, reviewing vendor documents for registration
- Follows up on contracts, including preparing amendments, cancellation, extensions and claims, obtaining management’s approval and keeping current files for all contracts
- Responsible for verifying that all required internal/external approvals are obtained before any external commitment is signed, and ensure all warranties, performance bonds and insurance policies are obtained from contractors
- On receipt of Scope of Works/Services, formulate the best tendering strategy depending on the type of contract, value and the time available. Prioritize the work and prepare a tender schedule for the complete tender process and agree with the user
- Preparation of Contract Work Order and other operational emergency contracts in limited time to avoid plant downtime/productivity loss
- Prepare Call for Tender (CFT) documentation and contract documentation (Agreements, and Contract Exhibits) ensuring that these comply with company and other relevant procedures
- Supports order expediting activities – Receive, file, store and retrieve various documents, for example, quotations, registration package, PO records, etc All these process are required to be within standard operation procedures keeping in mind the objective of maintaining accuracy & documents order to support procurement and contracts processes.
- Liaise with the legal team and obtain advice and inputs into document preparation and Contract / Purchase Orders
- Other administrative duties, such as control of stationary and office ware procurement, relating to the every day running of the department as designated by the Department Head.
Skills
Education : Any Degree Experience : Minimum 3 years experience in a similar role within a terminal or industrial environment Knowledge :
Languages : Ability to write in a clear concise manner and to communicate effectively in English. Arabic would be advantageous but not essential. Knowledge of other Languages will be an advantage.
